How we handle your details in the customer portal

This page explains, in plain words, what the customer portal collects about you, what it shows you, how long we keep it, and how to ask us about it. It describes only what the portal actually does today. When we add features, we will update this notice and ask you to accept the new version the next time you sign in.
Who can use the portal
Only customers we have invited. There is no public sign-up. Your login is tied to the contact record we already hold for your trailer order.
What we collect when you sign in
- Your email address. It is your login. We send a 6-digit code to it each time you sign in; there is no password. The code is sent to the email address we hold for you by NT Trailers' mail service.
- Sign-in records. Each time a code is requested, a sign-in succeeds or fails, a session is refreshed or you sign out, we record the date and time, the outcome and a scrambled (one-way hashed) form of your internet address. We do not store your email address, the code or your browser details in these records.
- Session records. While you are signed in we keep a record of your session: when it started, when it was last used, the same scrambled internet address and your browser type. Sessions end after 12 hours without use or 24 hours in total, or when you sign out.
- Invite records. If you arrived through an invite link, we record that the link was opened and used. The link itself is kept only until the invite email has been sent to you, and for no more than 24 hours; after that only a scrambled fingerprint of it remains.
- Bot protection. The sign-in page may use Cloudflare Turnstile to tell people from bots. When it is on, Cloudflare receives your internet address and browser details to run that check.
What we show you
- Your first name, a masked version of your email, and the last three digits of the mobile number we have on file.
- Each trailer linked to your order: model, colour, the last six characters of the VIN (the full VIN once you have collected it), your order reference, and a simple payment status label such as "Deposit received" or "Paid".
- A seven-step progress view (ordered, in production, on the water, arrived, arrival check done, ready for collection, collected) with dates where we have them, and an estimated arrival date while the trailer is shipping.
- Photos our yard has taken of your trailer on arrival and before collection. Only the standard angles our yard has chosen to share are shown. Photo links expire after 15 minutes and are re-issued while you are signed in.
The portal does not show prices, invoices, staff notes or any other customer's information.
What we record when you confirm your trailer
When you press "Confirm this is my trailer" we record the date and time, your internet address (not scrambled, so we can show what was confirmed and from where if there is ever a dispute), your browser type, and a copy of the trailer details you saw at that moment (model, VIN shown, order reference, colour). A note is added to your order in our office system so our team can see you have confirmed. You can only confirm a trailer that is linked to your own account.
Cookies
The portal sets two cookies on this site only. They keep you signed in and are not used for advertising or tracking across other sites. They last at most 24 hours and are removed when you sign out.
How long we keep it
- Sign-in records: 90 days.
- Session records: 30 days after you sign out or the session is revoked; a session that simply lapsed is removed 30 days after its 24-hour limit.
- Invite records: 90 days from when the invite was created. The link itself is removed as soon as the invite email is sent, or within 24 hours at the latest.
- Your trailer confirmation: kept with your order record.
- Your portal login: kept while you have a trailer with us. Our team can suspend or remove it on request.
Where it is stored and who helps us run it
- Supabase hosts the database and the sign-in service, in Sydney, Australia.
- Vercel hosts this website, in its Sydney region.
- Cloudflare provides the Turnstile bot check on the sign-in page, when it is enabled.
Your choices and your rights
- You can sign out at any time. You do not have to use the portal; our team can tell you the same things by phone.
- To ask for a copy of the information we hold about you, or to have your portal login removed, email sales@nttrailers.com.au or call 1300 798 100. We handle these requests by hand and will confirm what we have done.
